How to search documents with the filter tree

Tick metadata values to narrow your document set live, combine facets to drill down, then clear them all in one click.

Seven steps to a filtered set.

The Filters panel lists your documents as a tree of metadata facets. Tick values and the document count narrows live.

01Open Search

Start from the Charlo CPS home screen.

  • On the home screen, click Knowledge Base under Get Started, then Search.
  • You can also use the left menu: Knowledge Base, then Search.
WhereThe Search view is where every question and filter happens. Everything below lives on the left of this screen.

02Show the Filters panel

The panel starts tucked away on the left edge.

  • Click the Filters tab on the left edge of the Search view.
  • The panel slides open. Click the chevron at the top of the panel to tuck it away again.
TipThe panel stays open or closed the way you left it, so you only do this once.

03Find your way around

Count on top, containers next, metadata facets below.

  • At the top is the live document count, for example 633 documents.
  • Containers lets you limit the search to one collection of documents.
  • Filter by metadata lists every facet, such as Doc Type, State and Building Sector.

04Tick a value to narrow the set

Open a facet, tick a value, and the count drops.

  • Click a facet name to expand it, for example Building Sector.
  • Tick a value, for example Health. Each value shows how many documents match.
  • The count at the top drops, for example 13 documents of 633, and a filter chip appears under the search bar.

05Combine facets to drill down

Add a second facet to narrow further.

  • Expand a second facet, for example State, and tick a value like QLD.
  • Each facet adds its own chip under the search bar.
  • Filters across different facets combine. The set narrows to documents that match all of them.

06See the filtered documents

Open the Documents tab to list exactly what your filters selected.

  • Click Documents at the top of the screen.
  • The header confirms the set, for example 3 of 3 documents loaded, filtered by sidebar.
  • Search this set by name, or go back to Query and ask a question against these documents only.
CheckUse the Documents tab to confirm the exact documents before you ask a question.

07Clear filters to reset

Remove one filter, or clear them all at once.

  • Click Clear all beside the chips to remove every filter at once.
  • To drop one filter, click the x on its chip, or untick the value in the tree.
  • The count returns to the full set and your search covers everything again.
ResetRemove one chip with its x, or use Clear all to start again.
